When you have received a signed and valid written listing agreement, you are responsible to do the following things within 24 hours (including weekends, holidays etc.).
- PDF or send through a signing app such as Docisign the listing document to Broker
- I will review it, sign it as Broker, and return a copy to you.
- In order to form a valid listing contract with the owner, you (not my secretary, clerical staff, or anyone else…you!) must do one of the following things. If you do not, no commission will be paid on any transactions relating to the property:
- Fax a copy to owner and file it, with the fax receipt proving delivery, in the listing file
- Hand-deliver a copy to owner and obtain a written receipt indicating he/she received it
- Mail a copy to owner, via Certified Mail, return receipt requested, and file the copy you mailed, along with the receipt for certified mailing in the listing file
- Email a copy to the owner and obtain a response to the email confirming receipt and put a copy in the listing file. Owners will respond when you send them a copy of the listing agreement with proposed MLS wording or the MLS link. Wording that helps… “I am attaching a copy of the executed listing agreement for your records along with the MLS link below. Please reply to acknowledge receipt.”
- If none of these things are done, you do not have a valid and enforceable listing. Do not come back to me later demanding help with an owner who refuses to honor the listing etc., unless these things were done at the time the listing was taken.
- Enter the Seller(s) into ACT including all phone numbers, email addresses, address, and pertinent information.
- You have an obligation to provide quality pictures of your listing. Arrange for pictures of the property, including the exterior of the building, amenities, and view. Professional pictures are recommended. Email pictures to office staff or save them in our data base and inform office staff so they can be correctly resized and saved with the correct name. See section on Property Photos for helpful information.
- Verify maintenance fee amount, taxes, and general rules and regulations (pet, rental, parking restrictions). Contact condominium Association. Make notes in Act.
- Enter into MLS. Minimum of 1 photo is required on the MLS. If pictures have been taken, it is best to have edited photos available.
- If you made any special commitments to the Owner, it is up to you to fulfill them. An example is special advertisements or frequency.
- At least one set of showing keys must be kept in the office in the showing key drawer. If a property is occupied and requires an appointment, you should make sure it is clear to any BTB agents that the property is by appointment only. For example, place a note on the envelope stating to call you, occupied and appointment needed.
